Terms of Service
The terms that govern use of syntropicops.com and the automation services Syntropic Ops provides under a written proposal.

The agreement
These terms govern two things that are easy to confuse: using this website, and hiring Syntropic Ops to do work. Browsing the site, using the tools, or submitting a quote request means you accept the site terms below. A paid engagement is not formed until both sides agree a written proposal or statement of work. That document, together with these terms, is the contract for the work.
If a proposal and these terms conflict, the proposal controls for that engagement. Our Privacy Policy explains how we handle information.
Who we are
Syntropic Ops is a business automation agency. We design and build custom systems that remove repetitive work, connect the tools a team already uses, and make operations more consistent. We are not a software-as-a-service product. This site is a marketing and intake site for that work.
The site and its tools
The articles, case studies, calculators, and assessment tools on this site are published so you can understand the kind of work we do. They are informational. They are not professional, legal, financial, or medical advice, and they are not a promise that a particular result will apply to your business.
The ROI Calculator, fit assessments, Workflow Builder, and n8n Workflow Viewer run in your browser. We do not warrant that their outputs are complete or that a workflow you assemble there will run unchanged in production.
We may change, suspend, or remove any part of the site without notice. We are not obligated to keep a particular tool or article available.
Quotes and proposals
Submitting the form at Request a Quote is an inquiry, not a contract. We may decline work that is a poor fit, incomplete, or outside the systems we implement. A proposal we send is an offer to do the work described in it, on the fees and timeline stated there, and it expires on the date it names — or after a reasonable period if it does not name one.
Until a proposal is accepted in writing, neither side is obliged to proceed.
Services
The work we do is scoped in the proposal. Typical engagements cover some combination of diagnosis, design, build, testing, monitoring, upgrades, and repair of automation systems. The platforms we most often implement are n8n, Make, Zapier, GoHighLevel, and the CRMs, spreadsheets, APIs, and AI services those systems connect to.
Unless the proposal says otherwise, we build on the stack you already have rather than requiring you to adopt a new platform. Deliverables, acceptance criteria, and any ongoing monitoring or retainer are whatever the proposal states — not a general promise of unlimited support.
Your responsibilities
Automation only works if the process it encodes is the process that actually happens. You agree to:
- Describe the current workflow accurately, including exceptions and who approves what.
- Grant access through proper invitations or a credential vault — not by emailing shared passwords in the quote form if a safer channel exists.
- Make a decision-maker available for reviews at the points the proposal names.
- Keep the accounts, plans, and API limits on your third-party tools in good standing.
- Confirm that you have the right to give us access to the data and systems involved.
Delays on access, reviews, or decisions push the timeline. We are not responsible for failures that come from inaccurate process information, revoked access, or a third-party tool changing or going down.
Third-party platforms
The systems we build usually run on platforms we do not own. n8n, Make, Zapier, GoHighLevel, OpenAI, CRMs, and similar vendors set their own terms, pricing, rate limits, and uptime. You remain the customer of those platforms. We do not control their outages, breaking API changes, or account suspensions, and we do not warrant their performance.
If a platform change breaks a workflow we built, repair or upgrade work is handled as the proposal (or a later change order) describes — not as an open-ended guarantee.
Intellectual property
You keep the data, content, trademarks, and process knowledge you provide. You also keep the business logic that is specific to your operation once it is delivered, to the extent the proposal assigns it to you.
We keep our methods, templates, internal tooling, field guides, and generic workflow patterns. We may reuse those in other work. We do not reuse your confidential data, credentials, or identifiable process detail.
Until invoices for an engagement are paid, we may withhold final credentials, documentation, or transfer of admin access for the work that remains unpaid.
Confidentiality
Each side will treat the other’s non-public information as confidential and use it only to perform the engagement. That includes credentials, customer lists, pricing, and unpublished process maps. The obligation does not cover information that is already public, that the receiving party already had, or that it later receives from someone else who was free to share it.
We may publish an anonymized case study only when you have agreed in writing, and only in the form you approved.
Fees and payment
Fees, payment schedule, and any expenses are set in the proposal. This site does not take payment. Invoices are issued as the proposal describes. Late or missing payment may pause work. Platform subscription costs — n8n, Make, GoHighLevel, AI usage, and the like — are yours unless the proposal says we are carrying a specific cost.
Warranties and limitation of liability
We will perform the work in the proposal with reasonable care and skill, and we will test the paths the proposal names before calling a deliverable done. Beyond that, the site and the services are provided as-is. We do not warrant that an automation will be error-free, uninterrupted, or fit for a purpose that was not written into the proposal.
To the fullest extent permitted by law, Syntropic Ops is not liable for lost profits, lost data, business interruption, or indirect or consequential damages. Our total liability for an engagement is limited to the fees you paid us for that engagement in the three months before the claim. Nothing in these terms limits liability that cannot be limited under applicable law, including liability for fraud or for death or personal injury caused by negligence.
Acceptable use of the site
You may not use the site to break the law, to probe or overload our infrastructure, to scrape it in a way that impairs other visitors, or to submit content you do not have the right to send. We may block access that we reasonably believe violates this section.
Ending an engagement
Either side may end an engagement as the proposal allows. If the proposal is silent, either side may end it by written notice. You will pay for work completed and non-cancellable costs incurred up to the end date. We will hand over completed deliverables that have been paid for, and we will revoke our access to your systems when the handoff is done.
Changes to these terms
We may update these terms for the site at any time by posting a new version here and changing the date at the top. The version that applied when a proposal was accepted continues to apply to that engagement unless both sides agree otherwise.
Governing law
These terms are governed by the laws applicable to the place from which Syntropic Ops operates, without regard to conflict-of-law rules. If a dispute cannot be resolved directly, the courts of that place have exclusive jurisdiction, unless applicable law requires otherwise.
