The Challenge

The agency was generating enough demand, but it needed to convert that demand into attended sales calls and, ultimately, new clients.

Before the project, meetings were booked through Calendly. Lead information then had to be transferred manually into GoHighLevel, which was the company’s primary CRM. This created additional operational work and kept two critical parts of the sales process disconnected.

The previous setup also used separate calendars depending on the lead source. For example, there were different calendars for leads coming from Instagram, LinkedIn, and other channels.

Because of how those calendars had been configured, double bookings sometimes occurred. The assignment process also did not consistently account for the lead’s potential value, the sales representative’s specialization, or the representative’s closing effectiveness.

The high volume of bookings created another problem: many prospects scheduled meetings but did not attend. Some representatives could experience several no-shows in a single day, leaving valuable appointment slots unused and reducing the number of effective sales conversations.

The agency did not have a lead-generation problem. The real challenge was filtering opportunities, confirming genuine interest, and making better use of the sales team’s limited capacity.

The Solution

Syntropic Ops reviewed the existing setup and redesigned the complete booking and follow-up process inside GoHighLevel.

Calendly was removed from the workflow. The form, calendar, communications, lead assignment, and sales pipeline were all managed within the same CRM.

Instead of maintaining separate calendars for each acquisition source, Syntropic Ops configured a single round-robin calendar for the sales team. Lead sources could still be identified through tags without creating independent calendars that competed for the same representatives’ availability.

The initial form collected information such as:

  • Website URL
  • Type of request
  • Available budget
  • Industry

Some of these fields were optional, but they provided useful information for applying better assignment criteria.

Hot leads were assigned to the closer with the highest effectiveness. Other requests, such as discovery calls, could be distributed according to availability, workload, niche specialization, or other commercial criteria defined by the agency.

The automation also included a confirmation process designed to reduce no-shows. Leads received automated reminders by email and text message before their meeting.

Approximately 24 hours before the call, the system sent an email requesting explicit confirmation. The lead had one hour to confirm attendance through a link.

When no confirmation was received, GoHighLevel created a task for the assigned representative to make a short validation call approximately 20 hours before the meeting and during business hours.

If the lead neither confirmed nor answered the call, the meeting was canceled. The appointment slot became available for another opportunity, and the lead received an email with additional information and a link to reschedule.

This process helped distinguish genuinely interested prospects from people who had booked without a clear intention to move forward.

The solution went beyond replacing Calendly with another booking calendar.

Syntropic Ops created a sales pipeline that allowed the agency to track the progress of every opportunity and record the outcome of each sales call.

The pipeline included stages such as:

Technical Challenges

The confirmation call is one example of this approach. The system automatically detected the missing confirmation and created a task, while the sales representative only became involved when manual validation was necessary.

Preventing Double Bookings

The previous setup used separate calendars for different lead sources, which created availability conflicts and occasional double bookings. The new architecture consolidated all appointments into a single round-robin calendar. Lead sources continued to be identified through tags without dividing availability across multiple independent calendars.

Balancing Automation with Commercial Control

Not every lead needed to be treated in the same way. The system had to differentiate between higher-value opportunities, discovery calls, and leads associated with specific industries. The final solution combined form data, business rules, and representative performance to create a more strategic distribution process.

Results

The agency did not have sufficiently structured historical data to calculate exact improvement percentages. However, daily monitoring by the sales representatives confirmed several operational improvements:
