How Syntropic Ops collects, uses, and shares information when you visit our site, request a quote, or hire us to build automation.

Who we are

Syntropic Ops (“we”, “us”) is a business automation agency. This website is published at syntropicops.com. We design and build custom automation systems — workflows, integrations, and AI-assisted processes — on tools such as n8n, Make, Zapier, GoHighLevel, CRMs, and related APIs.

This policy describes how we handle information in two different situations: when you use this website, and when you hire us to deliver work. Those situations are not the same, and we treat them separately below.

What this policy covers

It covers information you give us on this site, information collected automatically while you browse, and information we process in the course of a paid engagement. It does not cover the privacy practices of the third-party platforms we connect for clients. Those platforms publish their own policies, and your contract with them continues to apply.

Use of this site is also governed by our Terms of Service.

Information we collect on the site

The only form on this site is the quote request at Request a Quote. If you submit it, we receive:

  • Your name and email address.
  • Your company name, if you provide one.
  • The message you write about the work you want done.
  • Any files you attach — for example PDFs, documents, spreadsheets, or screenshots of processes and tools.

Those submissions are delivered to a workflow we operate so we can review the request and reply. We do not run a newsletter, account system, or payment checkout on this site, and we do not ask for a password.

How we use site information

We use quote-form information to understand the request, prepare a proposal if the work is a fit, and communicate with you about next steps. We may keep the submission and any files you attached for as long as we need them to carry on that conversation, or longer if they become part of a later engagement.

We do not sell this information. We do not use it to advertise to you on other sites.

Interactive tools on the site

Several tools on this site run entirely in your browser. They do not send your inputs to our servers:

  • The ROI Calculator, Automation Fit Assessment, and WhatsApp Automation Fit tool. Nothing is submitted, and we do not ask for an email to see the result.
  • The Workflow Builder and n8n Workflow Viewer. Work stays on your device unless you export or share it yourself.

If a future version of a tool starts sending data to us, we will say so on that page and update this policy.

Analytics and fonts

We use Vercel Analytics to understand aggregate traffic — which pages are read, and from roughly where. It is operated by our hosting provider and is not used to build advertising profiles. We do not run Google Analytics, a Meta Pixel, or similar advertising pixels on this site.

The typefaces on this site are served through Google Fonts. Your browser may contact Google to download those files. That request is governed by Google’s own privacy policy, not ours.

Information we process when you hire us

If we work together, we will handle information that is necessary to diagnose, design, build, test, monitor, upgrade, or repair the systems described in the proposal. That typically includes process descriptions, sample records, credentials or access you grant, and data that already lives in the tools we connect.

We use that information only to deliver the engagement. We do not use client operational data to train public AI models, and we do not treat it as marketing material unless you have agreed in writing that a specific, anonymized case study may be published.

You remain responsible for the legal basis on which you collect and use your own customers’ data. If an automation we build processes personal data on your behalf, you are the controller of that data. We act on your instructions as set out in the proposal.

Third-party platforms

Automation work almost always runs on platforms you already use or that we introduce as part of the build. Depending on the project, that can include n8n, Make, Zapier, GoHighLevel, Airtable, Google Workspace, Slack, CRMs, helpdesks, and AI providers such as OpenAI. Those vendors process data under their own terms.

We also use service providers to run this website and to receive quote submissions — currently a hosting and analytics provider, and a workflow system that delivers the form to us. They process information only as needed to provide that infrastructure.

How long we keep information

Quote submissions that do not become an engagement are kept long enough to reply and to reconstruct the conversation if you follow up, then deleted or archived when they are no longer useful. Information from a paid engagement is kept for the life of the project and for a reasonable period afterward so we can support, repair, or upgrade the system if you ask us to.

You can ask us to delete a quote submission or engagement records that we hold. We will do so unless we need to keep a copy to complete work already underway, to resolve a dispute, or to meet a legal obligation.

When we share information

We share information with the infrastructure and platform providers described above, and with anyone you ask us to include in the work — for example a teammate you introduce as the project owner. We may also disclose information if we are required to by law, or if we need to protect the site, our clients, or ourselves from fraud or abuse.

We do not sell personal information and we do not share it for cross-context advertising.

Security

We take reasonable technical and organizational steps to protect information we hold — including limiting who can see quote submissions and client credentials, and preferring role-based access in the tools we configure rather than shared passwords. No transmission or storage method is completely secure. Do not send secrets through the quote form if a safer channel is available; we will ask for access through the proper invitation or vault once a project starts.

Your choices

You can decline to submit the quote form, and you can use the interactive tools without giving us any information. If you have already submitted a request, or if you are a client, you can ask us for a copy of what we hold about you, ask us to correct it, or ask us to delete it, using the contact method below.

Children

This site and our services are directed at businesses, not at children. We do not knowingly collect personal information from anyone under 16. If you believe a child has submitted information to us, contact us and we will delete it.

Changes to this policy

If we change how we collect or use information, we will update this page and the date at the top. Continued use of the site after a change means you have read the updated policy. Material changes that affect an active engagement will also be raised with that client directly.

For privacy questions, access requests, or deletion requests, use the form at Request a Quote and say that the message concerns privacy. That is the contact channel we monitor for this site.
